Position Overview:
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support a dynamic executive in the talent management and hospitality space. This role is ideal for someone who thrives in a fast-paced, creative environment and can seamlessly manage both administrative responsibilities and talent-related coordination.
The Executive Assistant will act as a key partner, helping to manage day-to-day operations, communications, scheduling, and talent logistics. Discretion, attention to detail, and strong interpersonal skills are essential.
Key Responsibilities:
- Manage complex calendars, scheduling meetings, calls, travel, and events across multiple time zones
- Coordinate domestic and international travel, including itineraries, accommodations, and reservations
- Serve as a liaison between the executive and talent, brands, partners, and internal stakeholders
- Assist with talent management logistics, including bookings, contracts, deliverables tracking, and timelines
- Support coordination of brand partnerships, appearances, events, and media opportunities
- Handle email and communication management, including drafting responses and prioritizing correspondence
- Maintain organized records of talent engagements, contracts, and key documents
- Track invoices, expenses, and basic budgeting related to talent and projects
- Assist with special projects, research, and ad hoc tasks as needed
- Ensure the executive is prepared for meetings, events, and appearances (briefing materials, agendas, etc.)
Qualifications:
- 2+ years of experience as an Executive Assistant or in a similar support role, preferably within talent management, media, hospitality, or entertainment
- Strong organizational and time management skills with the ability to prioritize effectively
- Excellent written and verbal communication skills
- High level of discretion and professionalism
- Experience coordinating travel and managing complex schedules
- Detail-oriented with strong follow-through
- Comfortable working in a fast-paced, ever-changing environment
Preferred Experience:
- Exposure to talent management, influencer relations, or brand partnerships
- Interest or background in culinary, food & beverage, wine, or hospitality industries
- Experience supporting a public-facing executive or personality
Pay for this position: $23/hr. Overtime is time and a half. Bonus eligible.
This position works a hybrid schedule of 3 days in office, 2 days WFH. Business travel may be required.
