Role Overview
We are seeking a highly organized, detail-oriented Personal Assistant to support our Lead Creative Director. This is a high-trust role designed to create operational clarity and relieve day-to-day administrative and project burden so the Creative Director can focus on strategic, creative, and executive priorities.
This position blends executive assistance, light financial administration, and project coordination. The ideal candidate is proactive, discreet, and comfortable operating in a fast-paced creative environment.
Key Responsibilities
Executive & Personal Support
- Manage calendar, scheduling, and meeting logistics
- Coordinate travel arrangements and itineraries
- Organize inbox and manage communications as needed
- Prepare briefing documents and meeting materials
- Handle personal administrative tasks as required
Financial & Administrative Support
- Assist with bookkeeping and expense tracking
- Organize invoices, receipts, and vendor payments
- Support basic financial reporting and documentation
- Maintain accurate internal records and filing systems
Project & Task Coordination
- Take detailed meeting notes and distribute summaries
- Track project timelines, deliverables, and deadlines
- Maintain task lists and follow up with internal teams
- Support cross-functional communication to ensure alignment
- Keep leadership informed of progress and bottlenecks
Qualifications
- 3+ years experience in executive assistance, project coordination, or similar role
- Strong organizational and time management skills
- Excellent written and verbal communication
- High level of discretion and professionalism
- Proficiency in Google Workspace, Microsoft Office, and particularly Excel/Google Sheets as a task management tool.
- Comfortable handling sensitive financial information
- Ability to anticipate needs and solve problems independently
Preferred Attributes
- Experience in a creative agency, design studio, or entrepreneurial environment
- Familiarity with bookkeeping software (QuickBooks or similar)
- Strong follow-through and ability to enforce deadlines tactfully
- Calm under pressure and adaptable
