We are looking for an experienced Executive Assistant with a strong background to provide high-level support to a senior executive. This is a contract position based in New York, New York, offering a dynamic and fast-paced environment. The ideal candidate will possess exceptional organizational skills, professionalism, and the ability to multitask effectively while maintaining a proactive and assertive approach.
Responsibilities:
• Manage and maintain the executive's calendar, ensuring all meetings, appointments, and events are scheduled and updated accurately.
• Arrange complex travel itineraries, including booking flights, accommodations, and ground transportation.
• Coordinate travel logistics to ensure seamless transitions between locations and timely arrivals.
• Organize and prepare for executive meetings by gathering relevant materials and creating agendas.
• Provide personal assistance as needed, such as coordinating meals or managing personal tasks.
• Serve as the primary point of contact for the executive, effectively managing communications and prioritizing requests.
• Utilize Microsoft Office Suite and Outlook for scheduling, document preparation, and correspondence.
• Collaborate with other team members and departments to ensure smooth operations and alignment with organizational goals.
• Anticipate the executive's needs and proactively address potential challenges.
• Maintain a high level of professionalism and discretion when handling sensitive information.
• A minimum of 5 years of experience as an Executive Assistant, preferably supporting C-suite executives.
• Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Demonstrated ability to manage complex calendars and prioritize tasks effectively.
• Strong multitasking skills with a proactive and assertive approach to problem-solving.
• Exceptional interpersonal and communication skills, both written and verbal.
• Previous experience coordinating travel arrangements, including international travel.
• High level of professionalism, discretion, and attention to detail.
• Efficient, organized, and able to adapt to a fast-paced work environment.
