The Opportunity
This is a high-trust Executive Assistant role supporting the CEO at the center of national healthcare advocacy work.
You will operate as a true right hand—owning execution, managing information flow, and reducing cognitive load so the CEO can stay focused on policy, relationships, and strategic initiatives.
This role exists because the organization is operating at a level of complexity and visibility where precision, speed, and judgment matter. You’ll help build the operational backbone that allows a small, high-impact team to influence national healthcare decisions.

Job ResponsibilitiesSupporting the CEO
- Prepare weekly agendas, pre-reads, and briefing materials with high accuracy
- Anticipate context, follow-ups, and materials needed for meetings
- Draft, format, and proofread presentations and communications
- Compile legislative and regulatory updates into structured outputs
Systems and Project Management
- Track action items, priorities, and project timelines across initiatives
- Maintain organized, searchable systems for documents and materials
- Build and manage a clear project tracker with ownership and status
- Document meeting notes and ensure timely follow-through
Calendar & Communication Management
- Manage a complex, high-volume inbox across multiple accounts
- Draft clear, professional responses on behalf of the CEO
- Own calendar management, scheduling, and conflict resolution
- Maintain accurate contact records and distribution lists
Travel & Event Coordination
- Coordinate detailed travel logistics with proactive confirmation
- Maintain a centralized travel tracker
- Support conferences, stakeholder meetings, and working groups
- Ensure all logistics are handled ahead of time without gaps
Requirements
- Bachelor’s degree or equivalent
- 5+ years supporting a senior executive or CEO
- Healthcare or association environment
- Experience in fast-paced, high-accountability environments
- Familiarity with nonprofit or policy-driven organizations strongly preferred
- Strong proficiency in Microsoft Office, Zoom, scheduling tools and project management tools
Logistics and Compensation
- Location: Hybrid — Bethesda, MD (2 days in-person, 3 days remote)
- Hours: Monday–Friday, 9:00 AM–5:00 PM EST (occasional evenings)
- Start Date: 5/5/26
- Salary: $90,000 (with flexibility depending on experience)
