Position Summary
The Education Programs Specialist provides operational leadership and program support for the Society’s education portfolio, with primary responsibility for planning, coordinating, and executing Breast Surgical Oncology (BSO) Fellowship education programs delivered through online, live webinar, and in-person formats.
This role also provides program and documentation support for Continuing Medical Education (CME) and Maintenance of Certification (MOC) activities in alignment with Accreditation Council for Continuing Medical Education (ACCME) and American Board of Surgery (ABS) requirements.
Reporting to the Director of Education and Fellowship Training, the Education Programs Specialist plays a key role in ensuring education programs are delivered efficiently, accurately, and in compliance with applicable standards. This position works closely with education-based committees, faculty, and internal teams to support high-quality educational offerings while maintaining appropriate accreditation and certification documentation.
Key Responsibilities
BSO Fellowship Education Program Operations (Primary Focus)
- Lead the day-to-day coordination and execution of the Society’s breast fellowship education programs, including online enduring products, live webinars, and education components of in-person meetings.
- Manage program timelines, workflows, and deliverables to ensure education initiatives are executed accurately and on schedule.
- Coordinate logistics for fellow education activities across multiple formats, including faculty communications, scheduling, materials preparation, and post-program follow-up.
- Provide live support for virtual education programs (e.g., Zoom and Microsoft Teams), including attendance tracking and troubleshooting as needed.
- Support education programming associated with the Society’s Annual Meeting in collaboration with meetings and education staff.
CME & MOC Program Support
- Provide program and operational support for Continuing Medical Education (CME) activities in accordance with Accreditation Council for Continuing Medical Education (ACCME) requirements.
- Assist with documentation, tracking, and reporting related to Maintenance of Certification (MOC) activities in compliance with American Board of Surgery (ABS) guidelines.
- Maintain accurate education records, including disclosures, evaluations, outcomes, data, and required compliance documentation.
- Support accreditation processes by assisting with data collection, ACCME reporting, and reaccreditation under the direction of the Director of Education.
Committee Support & Coordination
- Provide program support and general coordination for education-based committees, including scheduling meetings, preparing agendas and materials, and documenting action items.
- Serve as a consistent staff point of contact for committee communications and follow-up.
- Assist with tracking committee initiatives, timelines, and deliverables in collaboration with education leadership.
Data Management & Reporting
- Maintain education program databases, spreadsheets, and tracking tools to ensure accurate and up-to-date records.
- Compile participation data, evaluations, and summary reports to support internal review, compliance needs, and program improvement.
Cross-Functional Collaboration & Special Projects
- Collaborate with internal teams (education, meetings, membership, marketing, and IT) to support education program delivery and promotion.
- Assist with special projects and additional assignments as needed to support education department priorities.
- Participate in cross-departmental initiatives as assigned.
Education/Experience
- Bachelor's degree or associate degree with 2-4 years of aligned work experience.
- Strong organizational skills with excellent attention to detail.
- Experience in medical education is preferred.
- Ability to manage multiple projects simultaneously while meeting deadlines.
- Excellent verbal and written communication skills with professionalism when working with physician members, faculty, and volunteers.
- Demonstrated problem-solving skills and ability to apply sound judgment.
- Strong customer service orientation with the ability to respond effectively to internal and external inquiries.
- Capacity to identify, implement, monitor, and execute work plans for assigned activities, goals, and objectives.
- Comfortable working independently while also collaborating effectively with staff and external partners.
- Proficiency in Microsoft Office (Outlook, Word, Excel) and Adobe, as well as experience working with relational databases and web-based applications.
- Experience with Zoom and Microsoft Teams for meetings, webinars, and communication.
Work Environment & Physical Requirements
- Location: Remote with occasional meetings in the office. Must be a resident of Maryland, Virginia, or Pennsylvania.
- Regular use of computers and standard office equipment for extended periods.
- Occasional travel required for regional education programs and attendance at the Society’s Annual Meeting (anticipated up to two times per year, ranging from two days to one week, depending on the event).
- Seasonal overtime may be required during peak education and event periods.
- Some physical activity required, including the ability to lift up to 25 pounds.
Salary Range: $60,000-$80,000 based on qualifications.
