Role:: Senior Administrative Assistant

We are seeking a Senior Administrative Assistant to provide high-impact administrative and operational support to senior technology leaders within Global Technology. This role plays a key part in enabling effective leadership, decision-making, and team performance in a fast-paced, collaborative environment.

The Senior Administrative Assistant will partner closely with senior technology leaders across Global Technology, supporting their day-to-day operations and ensuring seamless coordination across teams.

What You Bring
- Bachelor’s degree in business or related field (or equivalent experience)
- 3+ years of administrative experience
- Experience supporting senior leaders or executives
- Ability to work effectively in a fast-paced, team-oriented environment with ambiguity
- Strong ability to manage confidential and sensitive information
- Excellent organizational and multitasking skills
- Experience tracking budgets (preferred)
- Proficiency with:
- Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Virtual meeting tools (Zoom / MS Teams)
- Experience with Keynote, ChatGPT, or Microsoft Copilot is a plus
- Previous experience with the client organization is a plus
- Ability to occasionally work outside core business hours
Key Responsibilities
The Senior Administrative Assistant will support leaders and teams through a variety of responsibilities including:
Calendar & Scheduling
- Manage complex calendars, meetings, and conference scheduling
- Resolve scheduling conflicts and coordinate across teams
Travel Coordination
- Arrange travel, accommodations, and transportation
- Manage itineraries and documentation
Meeting & Event Planning
- Coordinate team meetings, offsites, and events
- Manage logistics including agendas, catering, space, and reminders
Financial & Administrative Support
- Prepare expense reports
- Track budgets and purchase orders
- Process invoices and vendor payments
Documentation & Presentations
- Prepare, edit, and format documents
- Create high-quality PowerPoint or Keynote presentations
- Maintain organizational charts and team documentation
Communication Support
- Draft and edit internal communications
- Manage distribution lists and send communications on behalf of leaders
Workspace Coordination
- Assist with team space planning and office moves
Project & Team Support
- Support project planning and progress tracking
- Help organize team meetings, offsites, and engagement activities
- Serve as the main point of contact for administrative questions
Administrative Coverage
- Provide support coverage for other leaders as needed
