We are partnering with a growing financial services firm is seeking a highly organized, proactive Executive Assistant / Office Manager to support a Principal and VP while overseeing day-to-day operations of a small NYC office (2-3 employees onsite regularly).
This hybrid role blends high-level executive support with facilities and office management responsibilities. The ideal candidate comes directly from financial services and thrives in a fast-paced, high-accountability environment. ⚡
Key Responsibilities
Executive Support
- Manage complex calendars, travel, and meeting coordination
- Prepare presentations and meeting materials
- Handle confidential communications with discretion
- Support internal and external stakeholder interactions
Office & Facilities Management
- Oversee daily office operations and vendor relationships
- Coordinate catering and meeting logistics 🍽️
- Manage office build-out and ensure client-ready space
- Support general facilities and administrative needs
Qualifications
- Prior EA experience within financial services (required)
- Experience supporting senior leaders (Principal, VP+)
- Comfortable working fully onsite
- Strong organizational skills and attention to detail
- Polished, adaptable, and highly professional presence
