About the Role
This Executive Assistant will provide high-level administrative and operational support to the CEO, ensuring schedules, communications, travel, and follow-through on priorities are managed seamlessly. The environment is fast-paced and mission-driven, requiring strong organization, discretion, and technical adaptability.
The CEO utilizes screen-reader and accessibility tools (e.g., Apple VoiceOver, JAWS). Direct experience is not required, but strong proficiency with Apple products, Microsoft 365, Zoom, and Teams—and the ability to quickly learn new platforms—is important. The role also supports accessibility-focused document formatting and meeting coordination.
Key Responsibilities
Executive Support
- Manage complex calendars for the CEO and Board Chair
- Coordinate travel, itineraries, and related follow-up
- Track action items, deadlines, and executive commitments
- Prepare briefing materials, agendas, and meeting documentation
Communications & Documentation
- Draft and format correspondence, reports, and presentations
- Coordinate scheduling and communication with board members, donors, and senior staff
- Prepare meeting agendas, minutes, and expense reports
Accessibility-Focused Support
- Ensure materials are formatted for screen-reader compatibility
- Coordinate accessible meeting logistics (alt-text, audio descriptions)
- Maintain organized, accessible workflows and document practices
Travel & On-Site Support
- Provide limited sighted-guide assistance during travel or external meetings as needed
- Coordinate logistics for efficient navigation of venues and meetings
Ideal Background
- 3–5+ years supporting a senior executive
- Strong technical proficiency (Apple products, Microsoft 365, Zoom, Teams)
- Excellent organizational skills and follow-through
- High discretion handling confidential information
- Experience in nonprofit, healthcare, education, or human services preferred
- Comfortable in an office setting where service animals may be present
